Business Visa Requirement

  1. Relevant Pages of Passport: Original Passport with validity of minimum six months after the intended date of departure and minimum two blank pages for visa stamp.1. National passport with validity of at least 3 months after the end of the planned journey 2. Copy of the identity page of your passport and copy of the most recent Schengen visa with stamps
  2. Visa Application Form: The visa application must be filled with proper information and signed by the applicant.   3. Photograph: 1 recent color photograph (5x3cm) with white background glued on the application form.
  4. Cover Letter: A personal letter from applicant including personal details, purpose of visit and outlining who will be responsible for the full costs of the trip. The letter should be addressed to – The Visa Officer, the respective visa office and signed. (Recommended)
  5. Invitation Letter from a registered company/organization: Original/scanned copy invitation letter from the Irish organization on its letter-head pad stating the purpose of travel, duration of stay and other necessary details with invitee’s signature
  6. Forwarding Letter from employer: A letter from the employer on the organization’s letter-head pad stating applicant’s name, designation, passport number, his purpose and assigned roles during the visit, duration of visit, sponsorship status etc. Confirmation letter of the company in India explaining the purpose and duration of the journey and
    the guarantee to cover all costs that may arise during the stay in Belgium.
  7. Copy of Trade License: Scanned copy of a valid trade license in case the applicant is the owner of/employed by the business entity. (Recommended)
  8. Copy of Incorporation Certificate: Scanned copy of a valid Incorporation Certificate in case the applicant is the owner of/employed by the company. (Recommended)

  10. Personal Bank Statements: Original Bank Statements (Personal/Payroll) for last 6 months mentioning the Bank’s name, telephone number clearly with authorized bank stamp and signature (e-statement is not acceptable)
  11. Sponsor’s Bank Statements: Original/scanned copy of bank statements from the sponsoring party (invitee/Employer company/any other person) for last 6 months mentioning the Bank’s name, telephone number clearly with authorized bank stamp and signature
  12. Company TIN Certificate: Copy of TIN/e-TIN certificate in the name of applicant’s employer company. The certificate must be translated into English, if it is issued in any other language. (Recommended)
  13. Company ITR Certificate: Income Tax Return Certificate on company’s tax returns for a period of last 3 years (Recommended) (Last 3 years)
  14. Salary Slip: 3 last salary slips
  15. Travel Health Insurance: travel health insurance/medical insurance covering the full time of an applicant’s intended visit. The insurance must be valid throughout the territory of the visiting state/s. The minimum cover shall be EUR 30,000. Copy of travel insurance valid in Belgium (and other Schengen countries), coverage minimum 30.000

  16. Airline Ticket Itinerary: A reserved itinerary for your airline ticket as per the schedule of the trip.
  17. Hotel Reservation: A reserved itinerary for your accommodation at a hotel or resort as per the schedule of the trip.
  18. Remarks:
    1. Submission of your old passport with previous trips can be useful for decision (maximum of 2
    passports in total).
    2. Additional documents, even if not featured in the list above, may be required by the Embassy.
    3. You should submit your application minimum 1 month before the foreseen travel date.
    4. You can submit your application at the earliest three months before your planned visit.
    5. The visa fee is non-refundable if the visa is denied.
    6. A later change to the purpose of the visit is not admissible. A prolongation of the visa is not possible.
    In both cases, a new application has to be entered.
